Reconcile Scheduled, Actual, and Punch Times Without Guesswork

Reconcile Scheduled, Actual, and Punch Times Without Guesswork

Every visit carries three sets of times: what was scheduled, what is actually billable, and what the caregiver actually clocked. Verveware keeps all three visible and distinct, gives you tools to reconcile them in bulk, and measures how often they line up on their own.

the problem

When Times Do Not Agree, Money Moves

The gap between scheduled and clocked time is where billing errors, payroll disputes, and compliance findings all originate. Most systems collapse the three into one number and lose the ability to explain anything.

Missing Punches

A caregiver clocks in and never clocks out. The visit is incomplete, unbillable, and needs a defensible end time from somewhere.

Corrections That Erase Evidence

Overwriting the clocked time to match the schedule makes the visit look clean and destroys the record of what actually happened.

Hundreds of Small Variances

A few minutes off on two hundred visits is not worth fixing one at a time, and is absolutely worth fixing in bulk.

Three Times, Kept Separate on Purpose
SCH, ACT, and PUNCH

SCH is what was scheduled. ACT is the actual time used for worked hours and billing. PUNCH is what the caregiver actually clocked from the app or telephony. All three are stored, and none overwrites another.

Match Hours

Set ACT to the scheduled time in bulk. Useful when a punch drifted a few minutes and the scheduled time is the defensible one, applied across many schedules at once.

Shift SCH

Move the scheduled time to match ACT instead. This adjusts the schedule to reality and leaves ACT and PUNCH untouched.

Memo Codes

An exception clears when it carries a reason and an action. Verveware maps common scenarios to IDOA edit reason and action codes, so a corrected visit arrives at the aggregator explained.

HOW IT WORKS

Reconciling a Pay Period

01

Read the dashboard by color

Green is clean and billable. Yellow has exceptions and is not billable. Blue is in progress. Brown is clocked in but never clocked out. White has not started.

02

Filter to what needs attention

The quick filter tab narrows the table from all schedules to only those requiring action.

03

Compare SCH against ACT

The schedule table shows both side by side with the punch type icon, telephone or mobile, so you know how the visit was verified.

Bulk edit the variances

05

Choose the right tool deliberately

Match Hours moves ACT away from PUNCH and lowers caregiver grade. If the punch was correct, edit ACT to match PUNCH instead. Shift SCH does not affect grade at all.

06

Confirm and lock

Once schedules reconcile, confirm them for payroll and apply a schedule lock so nothing moves during the run.
