Make EVV Compliance Case Notes Faster With Default Text

Sagar Kumar, COO and Co-Founder, Verveware

Compliance documentation often involves entering the same types of information again and again. Verveware now makes that part of the EVV compliance workflow faster by letting agencies create default documentation for case note types and automatically fill in key details.

Set Default Documentation for Each Case Note Type

Verveware administrators can now configure default text under System Types → Case Note Types using the Default Documentation field.

When someone selects that case code while adding a case note, Verveware automatically pre-populates the comment field with the configured documentation.

Instead of starting with an empty comment box every time, staff can begin with a consistent template designed for that type of compliance case.

This is particularly useful when an agency has recurring documentation that follows a standard format. The template provides the starting point while staff can still complete the case note with the information relevant to that specific situation.

Automatically Insert Names, Dates, and Mentions

Default documentation can also include special placeholders. Verveware replaces these placeholders with information from the case note when the template is used:

  • <<Mention>>— automatically inserts the client or caregiver mention

  • <<Date>> — automatically inserts the selected date

  • <<Name>>— automatically inserts the client or caregiver name

For example, an agency can create a case note template that already contains the expected sentence structure and use placeholders wherever the person or date changes.

That gives staff a more useful starting point than generic boilerplate while reducing the need to repeatedly type information Verveware already has.

Mention Caregivers or Clients Directly From Compliance

The update also improves how staff create case notes from Verveware’s Compliance area.

When adding a compliance case note, users can now mention the relevant caregiver or client directly through Compliance. If default documentation has been configured for the selected case code, the template is automatically pre-populated in the comment field.

Together, these changes create a simpler workflow:

  1. Open the case from Compliance.

  2. Select or mention the relevant caregiver or client.

  3. Choose the appropriate case code.

  4. Review the default documentation populated in the comment field.

  5. Add or adjust the case-specific information before completing the note.

The goal is not to replace thoughtful compliance documentation. It is to remove repetitive data entry from the process so staff can spend their time reviewing and documenting what actually matters for the case.

Build More Consistency Into Automated EVV Compliance

Automated EVV compliance should make routine work easier without taking control away from agency staff. Default case note text follows that approach.

Agencies decide what documentation belongs with each Case Note Type. Verveware supplies that text when the case code is selected and dynamically fills supported details such as the date and client or caregiver information.

That can help teams use a more consistent starting format for recurring case notes while still allowing each note to reflect the actual compliance issue being documented.

Default text supports your agency’s EVV compliance records and workflow; it does not replace documentation specifically required by a payer, Medicaid program, state agency, or other regulator.

Start Using Default Case Note Text

To configure the feature, go to System Types → Case Note Types, select the appropriate case note type, and add your template to the Default Documentation field. Add <<Mention>>, <<Date>>, or <<Name>> wherever you want Verveware to dynamically insert those details.

Then, the next time your team selects that case code from Compliance, the documentation is ready to review and complete.
